This Privacy Policy explains how Elton Audio Records, LLC and its divisions, including Elton Audio Publishing ("EAR," "we," "us"), collect, use and protect personal information when you use eltonaudio.com, the Artist Hub and our related services (the "Site").

Information you give us

We collect information you choose to share with us, including:

• Artist applications: your name, artist name, location, music links, answers about your career, your story and contact details.
• Messages and requests: information you send through our contact form, license request form or catalog submissions, such as your name, company, email and project details.
• Newsletter sign-ups: your email address.
• Artist Hub accounts: login details, profile information, files you upload, and information related to services we provide you.
• Payments: billing details needed to process payments. Card details are handled by our payment processors, and we do not store full card numbers.

Information collected automatically

When you visit the Site, we and our service providers automatically collect device and browser information, pages viewed, referring links, the date and time of your visit, and approximate location based on your IP address. When you submit a form, we store your IP address, approximate location and device type with your submission to help us prevent spam and understand where requests come from. Some of this is collected using cookies and similar technologies, described in our Cookie Policy.

Information from other sources

We may receive information from analytics, advertising, payment and distribution partners, and from public sources such as your public streaming profile (for example, your Spotify artist page) when you share it with us.

How we use information

• To review applications and decide on next steps.
• To provide, manage and improve our services, including management, development, distribution, marketing, advertising, website management and publishing.
• To respond to messages, quote license requests and provide support.
• To send newsletters and updates you have signed up for. You can unsubscribe at any time.
• To run campaigns and provide reporting to the artists and clients we work with.
• To keep the Site secure, prevent fraud and comply with legal obligations.

Services for artists and clients

Fan campaigns: when you join a pre-save or fan capture campaign we run for an artist, we may collect your name, email, region and engagement data and share it with that artist or client for reporting. Linked platforms, like streaming services, are governed by their own privacy policies.

Submissions: music, artwork, press materials and metadata you submit are stored and reviewed by our team. We do not claim ownership of submitted works.

Distribution and publishing: we process release metadata, ownership splits, reporting data and, where payouts apply, payment and tax details.

Client websites: for websites we manage on behalf of artists or clients, the artist or client is generally the owner of visitor data, and we act as their service provider.

Advertising: for ad campaigns we run, we process ad account, pixel, conversion and performance data.

How we share information

We do not sell your personal information. We share information only:

• With service providers that help us run the Site and our business, such as hosting, database, email, analytics and payment providers, under appropriate confidentiality obligations.
• With the artists and clients we work with, for campaign reporting.
• With partners when needed to complete something you asked for, such as a license request.
• When required by law, or to protect the rights, safety and property of EAR, our users or others.
• As part of a merger, acquisition or sale of assets, in which case this policy will continue to apply to your information.

Data retention

We keep personal information for as long as needed to provide our services, maintain business records, comply with legal obligations, resolve disputes and enforce our agreements. Retention periods vary by the type of data.

Security

We use reasonable administrative, technical and physical safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

You can unsubscribe from marketing emails using the link in any email. Depending on where you live, including California, other US states and Canada, you may have the right to request access to, correction of or deletion of your personal information, and to learn more about how we handle it.

Children

The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

We are based in the United States, and information we collect is processed and stored in the United States. By using the Site from outside the US, you understand your information will be transferred to the US.
